About the role
Houlihan Lokey’s Financial Sponsors Coverage Group in Frankfurt is looking for a proactive Personal Assistant to support the European Head of Sponsors and a Senior Managing Director. This permanent position involves handling confidential administrative tasks, managing complex calendars, and coordinating travel and events with a high degree of professionalism.
Key responsibilities
- Maintain and align meeting structures for senior team members, ensuring timely updates.
- Coordinate all aspects of domestic and international travel, including itineraries and accommodations.
- Prepare and submit expense reports in line with company policy, attaching required receipts.
- Organise local events such as dinners, cocktail receptions, and smaller marketing activities, handling venue research, catering, and logistics.
- Collaborate with the FSCG Project Coordinator and other service lines on regular tasks.
- Manage multiple calendars, set up paper and electronic filing systems, and produce copies of correspondence as needed.
- Support ad‑hoc projects, visitor office space arrangements, and act as backup for other administrators.
- Assist with client greeting when required.
Required profile
- 5–7 years of experience in an administrative or secretarial role within a professional services environment.
- Demonstrated discretion, sound judgment, and the ability to manage external relationships diplomatically.
- Quick learner who can become proficient in internal programs, processes, and organizational procedures.
- Comfortable using technical and business terminology on a regular basis.
