Accounts Payable Implementation Key User – Fixed Term

About the role

We are looking for a detail‑oriented Accounts Payable Implementation Key User to support the rollout and operation of our new Coupa purchase ordering and invoicing system at MEININGER Hotels Berlin headquarters. This one‑year fixed‑term position will ensure system stability, accurate invoice processing, and a smooth transition for the wider AP team in a dynamic, international environment.

Key responsibilities

• Support the project team in configuring the Coupa invoicing module and testing system changes.
• Train OCR software to capture invoice data accurately and ensure compliance with AP standards.
• Perform invoice verification, VAT compliance, and correct USALI account assignments.
• Post vendor invoices, maintain vendor master data, and manage account reconciliations.
• Conduct general‑ledger and sub‑ledger reconciliations, validate system integrations, and monitor data completeness.
• Identify and resolve system issues, support testing of fixes, and create documentation and training materials.
• Drive continuous process improvements across AP operations.

Required profile

• 1–2 years of experience in an Accounts Payable role within a European environment.
• Hands‑on experience with purchase‑order and invoice‑processing systems, preferably as a key user or SME.
• Strong understanding of accounting principles and VAT regulations.
• Proficiency with ERP or financial ledger systems, ideally MS Dynamics.
• Familiarity with system evolution and process‑improvement initiatives.
