Customer Service & Admin Specialist (Entry Level)

About the role

OWAY, a family‑owned professional agricosmetic brand, is seeking an Entry‑Level Customer Service & Admin Specialist to support its German operations. You will be the first point of contact for customers, manage order processing, and assist with administrative and financial tasks, ensuring a seamless experience for salons and spas.

Key responsibilities

• Handle customer inquiries via phone and email promptly and professionally.
• Enter, verify, and monitor orders and customer data in SAP.
• Prepare quotations, product sheets, and promotional materials.
• Track and resolve customer complaints and non‑conformities.
• Coordinate with headquarters on product availability, promotions, and commercial policies.
• Update customer records and generate basic sales and service reports.
• Manage invoicing processes for salons and support finance‑related queries.
• Extract key data from SAP, monitor scheduled payments, and follow up on overdue invoices.

Required profile

• Fluency in German and English (written and spoken).
• Strong organizational skills with high attention to detail.
• Excellent written and verbal communication abilities.
• Ability to juggle multiple tasks in a dynamic environment.
• Proactive, problem‑solving mindset and a customer‑oriented attitude.
• Team spirit and willingness to collaborate across departments.
