Operations Associate m/w/d

About the role

The Operations Associate supports both import and export processes for a global logistics provider. You will ensure shipments are tracked, documented, and delivered on time while maintaining compliance with internal procedures.

Key responsibilities

• Gather required information for import shipments and coordinate with internal departments to track delivery.
• Verify that shipments arrive on time, report discrepancies, and close job files for record‑keeping.
• Manage export paperwork, send pre‑alerts to foreign branches and agents, and coordinate with airlines, handling agents and brokers.
• Monitor shipments using the Maestro transportation system and webscan, updating milestones and confirming weight and piece counts.
• Handle temperature‑controlled packaging requirements, create flight plans, and ensure proper scanning of all pieces.
• Process daily requests from the operations mailbox, distribute issues within the team, and escalate when necessary.
• Maintain accurate data entry in in‑house systems and ensure proper filing and administration.

Required profile

• Strong attention to detail and ability to follow global processes and procedures.
• Effective communication with internal departments, brokers, and overseas offices.
• Proactive monitoring of shipments and ability to manage multiple tasks simultaneously.
• Organisational skills to handle paperwork, pre‑alerts, and temperature‑controlled packaging.

Required skills

• Experience with Maestro transportation system.
• Proficiency in webscan tools for shipment verification.
• Data‑entry competence using in‑house logistics software.
