Shipping Coordinator

About the role

The Shipping Coordinator will provide integrated expertise and exceptional service for both clients and internal staff, overseeing logistics for fine art and rarities moving to and from Sotheby's. Based in Germany, the role coordinates domestic and international shipments, ensuring timely, cost‑effective delivery while complying with all applicable laws and regulations.

Key responsibilities

• Arrange shipping and associated logistics requirements for all property.
• Collaborate with Pre‑Sale and Post‑Sale teams to deliver a consistent client experience.
• Monitor and execute quote requests within established service levels.
• Obtain, evaluate and select quotes from shippers and related service providers.
• Assess shipment requirements (transport method, packing, etc.) and record details in the system.
• Apply for CITES licences and any other required permits.
• Issue instructions to vendors for packing, local transportation, shipping and security.
• Allocate tariffs for international imports and exports.
• Track shipment progress, troubleshoot issues and keep stakeholders informed.
• Provide performance feedback on shippers and maintain service‑level KPIs.
• Ensure compliance with all relevant laws and regulations.
• Identify consolidation opportunities and arrange combined shipments to maximise efficiency and reduce cost.
• Maintain and scan all shipment documentation according to department procedures.
• Prepare customs documentation for cross‑border movements.

Required profile

• Strong organisational abilities and attention to detail.
• Excellent communication skills for liaising with internal teams and external vendors.
• Knowledge of international shipping regulations and customs procedures.
• Experience handling fine‑art or high‑value items is preferred.
• Ability to manage multiple shipments simultaneously and meet deadlines.

Required skills

• Familiarity with CITES licensing processes.
• Experience preparing customs documentation.
• Understanding of international logistics and tariff allocation.
