Facilities & Workplace Manager

About the role

We are looking for a highly organized, service‑oriented Facilities & Workplace Manager to ensure the smooth operation of our Munich office. The role blends facilities management, health and safety leadership, and on‑site employee support while also assisting HR and executive teams.

Key responsibilities

• Oversee all aspects of office facilities and workplace operations, acting as the main liaison with building management, landlords, vendors and service providers.
• Coordinate maintenance, repairs, cleaning, security, access control and continuous workplace improvements.
• Manage office supplies, equipment, furniture, inventory and related budgets, purchase orders, invoices and vendor contracts.
• Organise office events, meetings, catering and employee‑engagement activities.
• Lead health, safety and wellbeing initiatives, conduct risk assessments, inspections and safety audits, and ensure compliance with regulations.
• Handle incident reporting, investigations, corrective actions and emergency preparedness planning.
• Provide on‑site support for employee onboarding and offboarding, workspace setup and HR‑related office activities.

Required profile

• Proven experience in facilities or office management, preferably in a fast‑paced environment.
• Strong service mindset with the ability to manage multiple responsibilities simultaneously.
• Excellent communication and stakeholder‑management skills.
• Ability to develop and maintain safety cultures and ensure regulatory compliance.
• Detail‑oriented, proactive and capable of driving continuous improvement.
