About the role
The Office Manager ensures smooth day‑to‑day operations of the office while providing direct support to the Managing Director. This role combines facility management, travel coordination, compliance, and administrative duties to create an agile and modern workplace.
Key responsibilities
- Arrange travel for the Managing Director, visitors and guests, including flights, taxis, hotels and visa documentation.
- Manage office supplies, kitchen stock, stationery and first‑aid materials; liaise with external service providers and approve related invoices.
- Coordinate with the landlord, building manager and facilities team; handle access, key logbook, parking and building issues.
- Oversee reception duties: book meeting rooms, welcome visitors, handle mail and parking reservations.
- Maintain central document filing for contracts, certificates, leases and other business records.
- Support the Managing Director with internal communications, reports, presentations and event organisation.
- Ensure office compliance with health, safety and GDPR regulations; act as Data Protection Officer and maintain required documentation.
- Administer the company car fleet: process offers, contracts, fuel cards and insurance matters.
Required profile
- Proven experience supporting senior management in an office environment.
- Ability to coordinate with multiple internal and external stakeholders.
- Strong organisational skills to manage travel, facilities and compliance tasks.
- Familiarity with GDPR requirements and data‑protection responsibilities.
