Facilities Operations Manager

About the role

Mindspace is looking for a Facilities Operations Manager to keep its Berlin locations running smoothly. You will be responsible for the safety, functionality and overall experience of the workspaces, ensuring members never have to worry about the building itself.

Key responsibilities

• Oversee building systems, maintenance and cleaning across all Berlin sites.
• Design and manage preventive and corrective maintenance programmes.
• Schedule work to minimise disruption to members.
• Negotiate and manage facilities providers, contractors and landlords.
• Ensure compliance with local regulations, health & safety standards and lease obligations.
• Lead construction projects and new site openings throughout Germany.
• Identify inefficiencies and drive continuous improvement.
• Manage security systems, access control, CCTV and related infrastructure.
• Act as first point of contact for facility emergencies.
• Collaborate with Community and Sales teams to support a seamless member experience.

Required profile

• 5+ years of experience in operations or facility management.
• Fluent in German and English, both written and spoken.
• Proven track record managing external vendors, contractors and service providers.
• Resourceful problem‑solver who works independently and adapts quickly.
• Hospitality background is a strong advantage.
