Team Lead Administration & Executive Operations

About the role

The Team Lead Administration & Executive Operations reports directly to the Managing Directors of Esther Schipper, a contemporary art gallery with locations in Berlin, Paris and Seoul. The role combines strategic planning, operational steering and people leadership to translate the gallery’s priorities into clear structures, meetings and projects.

Key responsibilities

• Lead the Admin team and coordinate the Front Office and Travel functions to support executive‑related requests.
• Design, maintain and optimise the overall calendar architecture and meeting cadence for the Managing Directors.
• Translate strategic priorities into operational structures, ensuring consistent internal communication across all departments.
• Anticipate organisational needs, shape efficient processes and safeguard visibility for senior leadership.
• Collaborate closely with the Office & Operations Manager to define goals, priorities and governance, while the Operations team builds the supporting systems and internal wiki.

Required profile

• Proven experience in leading administrative or operations teams, preferably in a fast‑paced, creative environment.
• Strong structural thinking with the ability to coordinate high‑level projects and communications.
• Excellent organisational skills and a detail‑oriented approach to managing calendars and meeting structures.
• Ability to work autonomously, set priorities and drive initiatives forward.
