About the role

As a Workplace Experience & Team Assistant at Proxima Fusion, you will provide reliable, detail‑oriented administrative support to the Leadership Team. This position offers a unique view into senior operations while enabling you to build strong human connections across the organisation.

Key responsibilities

• Coordinate and manage internal and external calendars for the Leadership Team.
• Book travel arrangements (flights, trains, hotels, transfers) according to preferences.
• Handle logistics such as dinner reservations, appointments and work‑related errands.
• Assist with expense tracking and reimbursement submissions.
• Prepare basic meeting documentation, including formatting documents and taking notes when required.
• Own recurring internal meeting scheduling (1:1s, weekly team meetings) and potentially company‑wide travel management.

Required profile

• Highly organized with strong attention to detail.
• Reliable and comfortable handling recurring administrative tasks.
• Clear, professional communicator in English; German is a plus.
• Discreet and trustworthy when dealing with sensitive information.
• Proactive, service‑oriented mindset with a “can‑do” attitude.
