About the role
We are looking for a proactive Office Manager & Administrative Assistant to ensure smooth daily operations at our Frankfurt office. You will act as the main point of contact for facilities, IT, and office management while supporting the Country Manager with a range of administrative tasks.
Key responsibilities
- Oversee daily office operations and reception, creating a professional environment for staff and visitors.
- Manage office supplies and inventory, including groceries, to keep stock levels adequate.
- Serve as primary liaison for IT and facilities inquiries, coordinating with internal teams and external service providers.
- Coordinate with property management and vendors to maintain seamless office functionality.
- Assist the Country Manager with appointment scheduling, leave tracking, and team calendar management.
- Provide general administrative support to legal and corporate teams.
- Support client onboarding, incorporations, filings, and annual subsidiary updates in collaboration with operational teams.
Required profile
- Proven experience in office management or administration, preferably in corporate, financial, or professional services.
- Strong organizational and multitasking abilities with keen attention to detail.
- Excellent communication skills in English and German, both written and spoken.
- Ability to handle confidential information with discretion.
- Knowledge of health and safety regulations and office compliance is a plus.
Required skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with office management software or tools.
