About the role
Sonae Sierra, a global retail real estate leader, is seeking an Administrative Assistant to join its Local Back Office team at the Central Offices in Germany. You will be the first point of contact for visitors and play a key role in handling daily office operations.
Key responsibilities
- Greet and welcome visitors in a professional manner.
- Manage incoming mail, invoices, and packages, including opening, registering, and distribution.
- Scan and process invoices using SAP and SPOT systems, and file them appropriately.
- Send payment reminders and maintain invoice archives.
- Organise conference rooms and coordinate meeting logistics.
- Copy, archive guarantees, certificates, and legal contracts, forwarding the latter to the legal department.
- Answer and direct national and international phone calls and e‑mails.
- Support the Office Management team with administrative and organisational tasks.
Required profile
- Proven experience as a receptionist, secretary or administrative assistant.
- Fluency in English and German (mandatory).
- Strong written and verbal communication skills.
- Ability to work independently, take initiative and prioritize tasks efficiently.
