About the role
We are looking for a proactive Administrative Assistant to support a team of roughly 60 service technicians. You will handle expense reporting, travel coordination, and a range of operational tasks while ensuring compliance with internal policies and legal requirements.
Key responsibilities
- Process and manage expense reports for service technicians in a timely manner.
- Assist with personnel deployment planning and overall operational management.
- Prepare, verify, and manage shipping and customs documentation.
- Act as the primary contact for inquiries about internal policies and legal matters.
- Create and maintain travel requests within the SAP system.
- Support onboarding of new employees and train them on expense reporting procedures.
- Assign and monitor online training courses for relevant staff.
- Maintain order catalogs for PPE, workwear, and other items.
- Help organize events, manage operational resources, and provide administrative support such as presentation creation and meeting preparation.
Required profile
- Completed commercial vocational training.
- Strong communication and organizational abilities.
- Basic proficiency in English.
Required skills
- Proficiency with Microsoft Excel, Outlook, and Word.
- Experience using SAP (advantageous).
