Personal Assistant to Managing Director (15-20h/week)

About the role
We are looking for a highly organised and proactive Personal Assistant to support the Managing Director of LAS Art Foundation on a part‑time basis (15‑20 hours per week) for a six‑month fixed‑term contract. Based in Munich, the role offers the chance to work closely with senior leadership in a dynamic, culturally‑driven environment.
Key responsibilities
- Provide comprehensive administrative and organisational support to the Managing Director.
- Manage end‑to‑end travel arrangements, including bookings, changes, cancellations and related communications.
- Handle travel expense collection, review, upload and reconciliation in collaboration with Accounting.
- Coordinate calendars, appointments, speaker requests and oversee vacation/absence management.
- Organise procurement orders, ensure proper invoicing and documentation.
- Assist with special projects such as art‑related research assignments.
Required profile
- Several years of experience as a Personal or Executive Assistant, preferably in the art or cultural sector.
- Structured, hands‑on and reliable work style with a strong sense of ownership.
- Ability to manage multiple topics simultaneously, including travel, bookings and administrative coordination.
- Fluent in German and English, with professional written and verbal communication skills.
- Excellent organisational and prioritisation abilities, handling confidential information discreetly.
- Flexibility to work occasional weekends.
