About the role
The Administrative Coordinator supports the Walt Disney Imagineering site office in Papenburg, Germany. You will guide daily office processes, resolve routine challenges and assist with relocation and travel logistics.
Key responsibilities
- Answer day‑to‑day queries from the site office team and proactively solve operational issues.
- Manage office inventory, order supplies and optimise stock‑keeping procedures.
- Schedule conference rooms, meetings and video calls.
- Maintain team data such as organisational charts and distribution lists.
- Prepare regular reports, summaries and presentations.
- Organise events including service anniversaries, recognition parties and team‑building activities.
- Support onboarding of new employees, providing guidance on processes and tools.
- Develop and continuously improve travel strategies, handling transportation, accommodation and rotation management.
- Maintain travel tools (e.g., Smartsheet) and create dashboards for stakeholders.
- Assist project managers with meeting preparation, agenda setting and minutes.
Required profile
- Strong organisational and communication skills.
- Ability to work independently and support a diverse team.
- Experience in office administration, travel coordination or event planning.
- Fluent in English; German language skills are a plus.
Required skills
- Proficiency with Smartsheet or similar workflow tools.
