Departmental Assistant for Global Supply Chain VP

About the role

We are looking for a proactive Departmental Assistant to support the Vice President of Global Supply Chain Management Rail. Based in Munich, you will work in a dynamic automotive environment, ensuring smooth administrative processes and high‑quality preparation of business reviews.

Key responsibilities

• Organise and execute all assistant duties for the VP, including scheduling, meeting coordination and travel arrangements.
• Prepare and follow‑up on business reviews, ensuring compliance with timetables, budgets and quality standards.
• Manage administrative tasks such as project coordination, event planning and global conference logistics.
• Create management presentations, primarily in English.
• Handle expense claims, purchase orders, CITAX processing and invoice verification for the department.
• Maintain workplace equipment and assist with office layout planning.

Required profile

• Several years of professional experience in an assistant role, preferably in an international setting.
• Strong communication skills in German and English (business fluent).
• High sense of responsibility, resilience and excellent organisational abilities.
• Ability to work independently, assertively and as part of a team.
